BOOKING TERMS
Standard
booking terms.
These standard terms apply to bookings with Acoustica Dubai (AcousticA Music Band). Your quotation sets out the event-specific details — sessions, production, itemised charges and the total — and is accepted together with these terms. Sending an enquiry does not reserve your date.
1. Booking confirmation and advance
A booking is confirmed once the written quotation/agreement is accepted and a 50% advance payment is received. The advance forms part of the total agreed price. An enquiry or quotation alone does not reserve the date.
The quotation must clearly identify:
- Performance fee.
- Number and duration of performance sessions and breaks.
- Production inclusions and exclusions.
- Approved travel and accommodation charges.
- Applicable taxes, if any.
- Total amount, 50% advance and remaining 50% balance.
- The mandatory private band room requirement.
2. Remaining balance
The remaining 50% must be paid immediately after completion of the first performance session, during the first break and before the second session begins. For bookings consisting of one session only, the remaining 50% is payable immediately upon completion of that session. The client must arrange for an authorised person to complete payment at the agreed time. Acoustica may pause further performance until payment is received.
3. Cancellation and refunds
Clients may cancel by email or WhatsApp.
Cancellation charges are calculated against the agreed performance fee:
- More than seven days before the event: 5%.
- More than 48 hours and up to seven days before the event: 10%.
- Within 48 hours of the event, before performance begins: 15%.
Notice is measured from receipt of the written cancellation to the agreed event start time, using UAE time. The cancellation charge is deducted from payments received. The 50% advance is not automatically forfeited and is not retained as an additional penalty. The remaining refundable amount will be refunded within seven calendar days of receiving the cancellation.
Previously approved third-party costs, including equipment hire, transport or accommodation, may also be deducted only where already committed and genuinely unrecoverable. Acoustica must provide a breakdown and supporting evidence. Avoided or recovered costs must be refunded. If Acoustica cancels for reasons within its control, all payments received will be refunded within seven calendar days. Once a performance has begun, any refund will reflect the services already delivered and the reason the performance ended.
4. Rescheduling
One date change is permitted without an additional rescheduling charge, subject to Acoustica's availability.
The replacement date must:
- Be agreed in writing within 30 days of the request.
- Take place within six months of the original event date.
Payments transfer to the replacement booking. The original date remains booked until the change is confirmed in writing. The performance fee remains unchanged where the scope and duration remain unchanged. Changes to scope, venue, travel or production costs require written approval. Previously approved, unrecoverable third-party costs for the original date remain payable. If a suitable replacement date cannot be agreed, cancellation charges apply based on when the original rescheduling request was received. Additional date changes require a separate written agreement.
5. Circumstances beyond either party's reasonable control
If an event becomes unlawful or genuinely impossible because of circumstances beyond either party's reasonable control, the client may choose an available replacement date or a refund. No cancellation charge applies. Any deduction for previously approved, genuinely unrecoverable third-party costs must be documented and permitted by applicable law. Low attendance, reduced ticket sales or a change of preference do not qualify under this clause.
6. Mandatory private room for the band
The client or organiser must provide, at their expense, a private room at the venue for the band's exclusive use.
The room must:
- Be available from the band's agreed arrival time until departure.
- Be clean, air-conditioned and adequately sized for the confirmed band lineup.
- Provide seating and space for changing, resting between sessions and keeping personal belongings.
- Provide privacy from guests and the public.
- Be reasonably accessible from the performance area.
A public seating area, corridor or shared guest space does not satisfy this requirement. The organiser must confirm the room arrangements in writing before the event. If the venue cannot provide a suitable room, an alternative must be agreed with Acoustica in writing before booking confirmation. This requirement refers to a private room for use during the event. It does not automatically require overnight hotel accommodation. Any unresolved issue must be addressed directly with the organiser.
7. Travel and overnight accommodation
Travel arrangements and charges apply to the exact venue stated in the accepted quotation. No travel, toll, parking, overnight accommodation or transport charge may be added unless included in the accepted quotation or subsequently approved in writing. For events outside Dubai, additional transport, travel-time and any overnight accommodation requirements must be confirmed before booking confirmation. Where overnight accommodation is required, agree the room count, occupancy, standard, location, dates and payer in writing. The mandatory private room at the venue remains required regardless of whether overnight accommodation is needed. A venue change requires review of travel, private-room availability, access and production arrangements. Any resulting price adjustment must be approved in writing before the change is confirmed. International events require a separate agreement covering flights, visas, permits, overnight accommodation, transfers and equipment transport.
